Candidates complete a detailed electronic application covering educational background, employment history, references, and classroom experience. Recruiting staff review every application individually.
Background screening and drug testing
All candidates must pass required criminal background screenings, drug testing, and compliance verification conducted in accordance with state regulations and district requirements. No candidate begins work until all screening is complete and approved.
Interview and candidate evaluation
We use both automated and personal evaluation — assessing professionalism, communication skills, classroom readiness, and genuine commitment to working with students. Candidates who don't meet our standards are not approved, regardless of demand.
Employment documentation and handbook review
Candidates complete all employment eligibility verification, payroll documentation, and review and acknowledge the StaffEZ Substitute Handbook — covering professional expectations, policies, and procedures for working in your schools.
10+ hours of training before day one
Every approved candidate completes our full onboarding and training program — 8 hours of structured online modules, 2 hours of in-person orientation, and 1 hour of dedicated safety training — before they ever accept an assignment in your district.
District approval and activation
Only after completing all steps is the candidate submitted for final district approval and activated in the placement system. Your district maintains complete control over who works in your buildings.
